Producer Playbook for a High-Stakes AWS Summit
TYPE:
Global Summit
CLIENT:
AWS (Amazon Web Services)
OVERVIEW:
“Great partners don’t just deliver their scope; they anticipate, adapt, and integrate.” Albertina Ngobeni-Potgieter, Sky Maverick, theSQUAD
We caught up with Albertina Ngobeni-Potgieter, theSQUAD’s Sky Maverick, fresh from the success of the AWS Summit Johannesburg 2025.
Her answers from the hot seat:
AS THIS WAS YOUR SECOND AWS SUMMIT, DID YOU APPROACH THE BRIEF DIFFERENTLY HAVING HUGE NUMBERS EXPECTED?
Yes, absolutely. The scale changed everything. Right from the beginning, we had to pivot to make sure that the guest experience from 2024 was bigger and better.
Plus, most importantly, we had to ensure that the venue would work for a larger audience, while knowing that 10,000 guests would be the maximum venue capacity at SCC.
We made sure that the following goals were met:
TRAFFIC FLOW & CROWD MANAGEMENT
9,000+ delegates meant we had to think like big music concert producers and plan how the delegates would move from arrival to registration and then up to the various events across 7 floors.
STUDENT PROGRAMME INTEGRATION
Adding 2,000 students required a parallel experience design, so we had a dual-event mindset: AWS Summit + an Exclusive Student Zone to inspire the youths career path, an all-in-one ecosystem.
As it was the first AWS Exclusive Student Zone in Africa, we had to make sure it was executed to its full potential, because of course, we had to be the best, globally.
WHAT DOES A “PRODUCTION READY” PLAN LOOK LIKE BEFORE THE DOORS OPEN? IN OTHER WORDS, WHAT’S GREEN, WHAT’S AMBER, AND WHAT’S RED?
These colours represent our various stages of production completion.
GREEN: Making sure all of the detail is approved and signed off; registration systems and devices tested and working; all suppliers and producers properly briefed, and their scope is accurately being set up; all branding placed and audited; all furniture and décor in place and approved, and (most importantly) that the finer detail has been executed.
AMBER: These are the areas that are still in the testing phase. This includes content being loaded, dry runs taking place, décor and exhibition stand glitches being fixed. And, any last minute changes by client, which are being actioned with a smile.
RED: “Red” doesn’t mean crisis, it merely means the final push of items that can only be resolved just before the doors are opened. This includes last minute speakers and content changes, WiFi systems going down and needing upgrading, as well as capacity numbers changing so a pivot is needed.
By the night before the first day, 85–90% must be green.
Amber items should be manageable overnight.
Red items must have clear contingencies before the doors open.
WHAT WAS ONE DECISION YOU MADE MONTHS BEFORE THAT PAID OFF ON THE DAY?
As a team we took learnings from the 2024 AWS Summit and based our 2025 decisions on these, making sure we had a smoother experience.
One standout decision that was a game-changer was to have the playbooks on iPads. This enabled us to review and audit details like branding and supplier checklists instantly and we saved hugely on printing (yay for sustainability).
The second game-changer was having more Senior Producers on each floor, which made the running around and problem-solving much easier and quicker.
Changing suppliers was another big one. Sometimes it’s scary to choose a new supplier for such a big job, but in the end, with trust and detailed planning, it worked out perfectly.
WHAT ARE THE BENEFITS OF HAVING STAND-UP MEETINGS WITH THE TEAM TWICE A DAY?
Our stand-ups create rhythm and shared accountability. With so many moving parts, issues can snowball if they are left unchecked. Stand-ups give us a twice-daily reset where everyone hears updates at the same time, challenges are surfaced early, and decisions can be made fast.
It also keeps the crew aligned and removes the “broken telephone” effect.
The result: team engagement, a safe space for voices, fewer surprises, faster problem-solving, and a calmer floor.
WHAT’S YOUR STRUCTURE FOR AN EFFECTIVE 12-MINUTE STAND-UP?
OPENING: quick check-in on energy, gees and stress levels.
THE CHECKLIST: check-in on what’s on track, signed off, or ahead of schedule. We made daily notes on our whiteboard per floor. When going through each floor, issues and resolutions could be managed quickly.
CONCLUSION: Once everyone knew the objective for the day, the day could commence in full. Producers could take accountability and run with their objectives with confidence. We even threw in some fun ice break breaker games to keep the energy flowing.
In the end, it keeps everyone aligned.
WHICH CREW-CARE ELEMENT HAD THE BIGGEST IMPACT ON TEAM PERFORMANCE?
The answer to this would be different for each person, depending on what they needed to make them feel inspired and energised.
For me it was the option to have popcorn every day at ANYTIME.
I do NOT have a healthy relationship with popcorn and all the spices, but it helped to have something that reminded me of home.
I do think all the crew-care elements had a ripple effect: from getting to know producers and suppliers during the social gatherings at the rugby and swap shop, to our fun and engaging War Room.
The early morning Sound Journey and WozaChi sessions set the pace for calmness, and the Vitamin IV drips fueled our immune systems, which was lifesaving.
Everything added up and made the entire week enjoyable.
HOW DID YOU KEEP THE AWS SUMMIT EVENT A HAPPY ONE?
Humour + empathy. At theSQUAD we laugh a lot, even in tense moments. It keeps momentum going and takes the edge off.
It also helps to have a supportive team who understands that this is a massive event and that tense moments are natural. Because of this, we respect each person’s “stress” and support them.
I think we handled stress very well during the setup and on the event days. The fine jar, delicious snacks, and funny pin badges also helped a lot, allowing us to release endorphins through laughter.
Thank goodness for our War Room where we could relax and gather. It was everyone’s haven of love and fun.
DESCRIBE A MOMENT THAT LOOKED LIKE A CRISIS AND BECAME A WIN?
THE CHALLENGE:
Security was a concern due to the public Skywalk entry into the SCC. Attendees without accreditation were stopped and redirected, leading to frustration, confusion, and potential security risks.
THE PIVOT:
We deployed additional hostesses to escort attendees to registration. This ensured smooth accreditation, a secure venue, and a positive guest experience.
YOUR ESCALATION LADDER: WHAT GETS SOLVED IN-ROOM VS. ESCALATED, AND HOW FAST?
We always try to resolve issues internally without including the client, unless we really can’t make a decision without their approval.
WITH 700+ ON SITE SUPPLIERS, WHAT SEPARATES THE GREAT PARTNERS FROM THE GOOD ONES?
Great partners don’t just deliver their scope; they anticipate, adapt, and integrate.
They flag risks before they become issues, stay calm when plans shift, and offer solutions, not excuses. They understand they’re part of a bigger ecosystem and actively collaborate across disciplines.
Good partners deliver what they’re asked. Great partners help us deliver what no one thought was possible, and they’re always just a call or WhatsApp away.
Great partners carry theSQUAD brand with heart and pride along with their own.
IF YOU COULD GIVE SUPPLIERS ADVICE ON “HOW TO WIN WITH theSQUAD CREATIVE,” WHAT WOULD IT BE?
Bring your A-game, attention to detail is key, crush mediocrity, be proactive, and care as much about our client as we do – because if you do, we’ll move mountains with you.
We always say our suppliers are an extension of theSQUAD. Nobody gets left behind.
WHO WOULD YOU LIKE TO GIVE A SPECIAL SHOUT-OUT TO AMONG YOUR SUPPLIERS THIS YEAR, AND WHY?
Ahhh, this feels like such an unfair question, because the truth is I can’t single anyone out. This year we genuinely worked with the BEST suppliers across the board, (*Please see the roll of honour list at the end.)
Every single person brought dedication, passion, and a can-do attitude where “no” was almost never an option.
What stood out was the collective spirit: inspiring teams who collaborated selflessly, problem-solved under pressure, and delivered work of the highest craftsmanship. From technical to build, décor to logistics, each supplier elevated the experience.
So my shout-out goes to ALL of our suppliers. Your love for what you do, your professionalism, and your tireless energy were the backbone of this AWS Summit.
I feel truly grateful to have produced this event alongside you; it was an honour and a privilege.
WHAT’S YOUR RITUAL ON THE MORNING OF SHOW DAY?
I actually have a couple rituals: I like to listen to some hyped-up music (TayTay or Chappell Roan) to get the positive vibes going and just go through the event deliverables in my head.
And lastly, I make sure I put on my loud and proud look with the best perfume and my red lips to start the day. There is no starting an event day without a powered scent, confident face and red bold lips 😀
HOW DO YOU REMAIN SMILING AND COMPOSED WHILE REPLYING TO THE MANY DIFFERENT QUERIES ON THE (10+) WHATSAPP GROUPS?
Haha, it felt like 100 groups. I treated WhatsApp groups like air-traffic control: concise, clear responses, always solution-first.
And I reminded myself that every question, even the frantic ones, came from someone who just wanted the event to succeed. Smiling (even while typing) shifts the energy in how the message lands.
I also tried to respond to client groups first, then the production team. I really learned focus on selective reading, otherwise it became too much.
IT WAS HEARTWARMING TO SEE YOUR FAMILY ON SITE. HOW WAS IT FOR YOU?
It was incredibly special. So often our families only see the exhaustion before and after an event, not the magic in the middle of it.
They also deal with all the late nights, early mornings, and us not always being “present”.
Having them there reminded me of why I do this work, not just for clients, but to show my loved ones the scale of what passion and teamwork can create.
It kept me grounded and proud and it also gave them a better understanding of the 42 weeks of planning and love that went into the AWS Summit Johannesburg 2025.
WHAT LEADERSHIP BELIEF CHANGED FOR YOU IN THE LAST YEAR?
I used to believe that as a leader, I needed to have all the answers.
This year taught me the opposite: leadership is about creating the conditions where the best answers emerge from the team.
It’s about trust, listening, and knowing when to step back. That shift has made me a calmer, stronger leader.
WHAT LINE DO YOU WANT YOUR TEAM TO REMEMBER WHEN THINGS GET SPICY?
I can’t take ownership of this one-liner, but it really helped in tough situations: “Pivot – don’t panic.“
It’s a simple reminder that calm energy is contagious and that we are all human in the end.
WHAT SHOES DO YOU TRUST ON 20K-STEP DAYS?
Any form of Nike Air shoes. It felt like I was walking on air, literally. No sore feet at the end of the AWS Summit week.
COFFEE, TEA, OR ELECTROLYTES?
Red Bull and wine… is that an option? Red Bull during the day and wine at night. I don’t drink coffee, and tea is more of a relaxing drink before bed.
WHAT IS THE MOST-USED WAR ROOM TOOL (BESIDES THE PLAYBOOK)?
The printer and the amazing snack bar with all the yummy sweeties!
YOUR GO-TO SONG FOR A GREAT BOOGIE?
Pink Pony Club from Chappell Roan, or anything with a good beat – I’m easy 😀
FAVOURITE QUOTE YOU READ THIS WEEK?
“A lion doesn’t have to roar to be heard.”
MANY THANKS FOR YOUR TIME ALBERTINA!
